Summary:
The Research Department Administrative Assistant provides support services related to research and education to the Executive Director of SCORE, Marketing and Education Coordinator, Research and Patient Experience Coordinator, the Fellows, and the physicians and staff of SCOI.
Essential Functions of the Position:
1.
Fellowship & Research:
a.
Collate and file all incoming Fellowship applications; answer correspondence from applicants b.
Assist with interview planning and procedures c.
Provide research project support for Fellows, including:
i.
Procuring patient data from electronic health record ii.
Procuring articles from internet iii.
Preparing Excel spreadsheets, including complex graphs and charts iv.
Data entry d.
Set up evening conferences for Fellows, including appropriately ordering meals for attendees, and maintain attendance records e.
Print and distribute weekly surgery schedules f.
Monitor ACGME database for case entry by Fellows 2.
Education:
a.
Assist with mailings for educational activities b.
Organize and maintain RSVP lists for educational activities c.
Assist with syllabus preparation d.
Assist with on-site registration and running of courses 3.
General office duties, including but not limited to copying, filing, faxing, typing 4.
Order and maintain office supplies for department 5.
Maintain inventory and fulfill orders for SCOI employee attire (SCOI shirts, etc.
) 6.
Assist in the development and maintenance of mailing lists and email lists used for educational and marketing purposes.
7.
Assist with data entry for Research, Education and Marketing efforts.
8.
Assist Executive Director of SCORE with projects, as needed.
9.
Provide support services to the Marketing and Education Coordinator and Research and Patient Experience Coordinator, as needed.
10.
Report to work as scheduled each day.
11.
Comply with SCOI policy and procedure.
12.
Act in a manner that is indicative of team spirit and cooperation.
13.

Secondary Job Duties:
1.
Other duties as assigned by Executive Director of SCORE, physicians and Administration of SCOI.

Ability to communicate accurately and concisely, both orally and in writing.
Qualifications:
Able to work and communicate with Fellows, SCOI physicians, Administration and the Directors and Managers within the various SCOI entities.
Ability to provide high level of Customer Service to all customers, both within SCOI and outside.
Education and/or
Experience:
High school graduate.
Minimum of 5 years experience providing clerical and general office support, preferably in a health care setting.
Language Skills:
Bilingual not required.
Mathematical Skills:
Basic math skills required.
Reasoning Ability:
Ability to analyze problems and creatively find solutions.
Ability to determine the need for higher-level involvement in projects.
Computer Skills:
Expertise required in Microsoft Office software, including Outlook, Word, Excel and PowerPoint.
Knowledge of Microsoft Access, Adobe Acrobat, and Adobe PhotoShop preferred but not required.
Knowledge of CareConnect helpful but not required.
Physical Demands:
In general, the job requires the ability to sit, use a computer, use the telephone and other office equipment.
Occasionally will require long periods of standing and lifting and carrying of up to 25 pounds.
Work Environment:
The work environment is conducive to an office setting.
There are no known safety hazards.

The check will bounce and the victim is left responsible.
